Privacy Notice

1. Introduction

This notice is provided in accordance with the Personal Data Protection Act of Sri Lanka to inform you of the collection and processing of your personal data by the Clearing Association of Bankers.

2. Why We Collect Your Data

We collect and process your personal data to:

• Verify your eligibility and process your application for membership in the Clearing Association of Bankers.
• Maintain accurate records of our members and their membership status.
• Communicate with you regarding your membership, including notices of meetings, events, and other member-related activities.
• Provide you access to services, resources, and information available to members.
• Respond to your enquiries or requests related to membership.
• Comply with legal, regulatory, and governance requirements applicable to the Association.

3. Categories of Personal Data Collected

• Name, Organization, Job Title
• Contact Information (Email, Phone Number, Address)
• Identification information (National Identity Card, Passport Number etc)
• Photographs / videos

If you provide us with personal data of another individual, you hereby represent that you have obtained consent from that individual prior to providing their personal data to us. References to ‘your personal data’ in this Notice would include such individual’s personal data that you provide to us.

4. Data Sharing and Recipients

We may share your personal data only with authorized parties where it is necessary to:

• Process and verify your membership application.
• Maintain statutory or regulatory compliance.
• Facilitate communication related to Association activities and services.

Your personal data will not be sold, rented, or disclosed to unauthorized third parties, and will only be shared on a need-to-know basis in line with applicable laws.

5. Data Retention

We will retain your personal data only for as long as such data is necessary for the purposes for which it was collected. The retention period for personal data may also be subject to compliance with applicable laws and legitimate business requirements.

• Access: Request access to your personal data under certain conditions.
• Withdrawal/Objection: Withdraw consent or object to processing under certain conditions.
• Rectification: Request correction or completion of inaccurate/incomplete data.

• Appeal: Appeal to the Authority if your request is denied.
• Automated Decisions: Request information and object to automated decision-making, including profiling.

To be noted that we may need to retain certain personal data for record keeping purposes and/or to complete any activity that you began prior to requesting a change or deletion.

7. Filing Complaints

You have the right to lodge a complaint with the Data Protection Authority if you believe your data protection rights have been violated.

8. Data Provision Requirements

Providing your personal data is necessary for us to process your membership application and to maintain your membership with the Clearing Association of Bankers. Failure to provide the required information may result in our inability to process your application, confirm your membership, or extend to you the services and benefits available to members.
